JOB DESCRIPTION
Based in Dublin and reporting to both the Finance & Operations Manager
and the CEO you will manage and develop the administrative aspects of
the organisation?s operations in line with development of the
organisation.
The successful candidate will be responsible for:
* Providing an effective and efficient business administration
function to Safe Ireland including CEO diary management.
* Ensuring the robustness of processes and systems to allow the
effective delivery of Safe Ireland?s office in line with annual
plans and funding requirements.
* Supporting the wider Safe Ireland team (including remote staff) by
providing specific administrative support and facilitating internal
communications.
* Representing Safe Ireland as a first point of contact including
telephone and email support with the ability to provide empathetic and
efficient support for Safe Ireland?s members and service users.
* Providing proactive administrative support to the Safe Ireland
team including taking responsibility for all office and event
management, travel and accommodation bookings, recruitment processes
and diary support.
* Providing excellent customer service across a range of
stakeholders, internally and externally.
* Ensuring the efficient running of the Safe Ireland office liaising
with internal and external stakeholders as required.
* Manage selected financial records with authorization from the CEO
(both internal and external including invoicing, banking, credit card
and petty cash)
* Plan and manage internal communications across the team including
responsibility for compiling the fortnightly update to Members
Meeting.
* Work with the CEO and Finance & Operations Manager to prepare,
support and deliver a wide range of meetings, papers and reports.
* Represent Safe Ireland internally as part of the GDPR group.
* Updating the Safe Ireland Websites and social media accounts.
* Manage all incoming correspondence and emails and distribute
appropriately, including proactively monitoring Directors emails.
* Management of other tasks as delegated by the Finance & Operations
Manager/CEO.
* Maintain a financial recording system as required by the Finance &
Operations Manager.
* Manage the time and attendance system for the full staff.
SKILLS REQUIRED
* Excellent range of IT skills (including Microsoft Office and
Teams).
* Ability to work independently and as part of a dispersed team.
* Ability to communicate information clearly and concisely using the
most appropriate method.
* Ability to collate, analyse and share information.
* Must be flexible with the ability to multitask.
* Attention to detail and ability to plan ahead while managing a
wide and busy workload.
* Effective communication skills with confident and empathetic
approach to providing telephone and e-mail support.
* Positive and proactive approach to work planning and time
management.
* Confident working under pressure and managing competing
priorities.
* Knowledge of GDPR and the implications for data storage.
* Excellent knowledge of Microsoft Word, Excel, PowerPoint, Access,
Email, and Internet.
* Very strong organizational, time management, people management,
analytical and problem-solving skills.
* Very good communication and written skills.
* Ability to build, develop and maintain relationships.
* Ability to maintain attention to detail at all times and work to
